12 tips for meetings   

 

1. Have a pre-meeting meeting             

 

2. Use the agenda creatively and specifically:

 

·         make sure the agenda item states clearly what it is about

·         list items in order of importance

·         time items

·         make clear who needs to be present for each item

 

3. Have action points rather than full minutes whenever you can

 

4. No meeting should last longer than two hours – concentration suffers after 30 minutes

 

5. Have odd start times for meeting – to encourage people turning up on time

 

6. Have a meeting toward the end of the day – people want to go home so the meeting will keep to time

 

7. Have some ground rules for meeting:

 

·         People will stick to times

·         Everybody has the right to be listened to

·         Build rather than block – ‘yes  and’ rather than ‘yes but’

·         Do not allow AOB – last minute additions to agenda must be agreed with the Chair

 

8. Have a seating plan

 

9. Write up any minutes straight away

 

10. Have breaks and refreshments

 

11. Use the appropriate style of meeting:

 

·         Decision only

·         Information only

·         Stand up meetings

·         Rock and roll meetings

 

12. Above all know the purpose of the meeting
